How to use this tool

1. Leads Yet to Be Qualified — review the loaded clinics. Each one is pre-scored on four axes: multi-location × PI attorney integration × VNG/vestibular sophistication × plaintiff-to-patient state.

2. Verify Data — adjust scores per axis, add notes, mark accounts as verified. Unverified axis values show in red. A quick site visit confirms or corrects.

3. Rep review — assign rep, choose the pipeline action (rep outbound / email nurture / newsletter / exclude), approve.

4. Export to Zoho — download Zoho-import-compatible CSV files. Accounts without a verified email and phone are flagged and excluded from export.

  1. Visit each clinic’s website (URL in card). Do not browse — just confirm it’s the right entity. If the URL is wrong, Google the correct one and update PILE.
  2. Ask Claude: “How many locations do they have and in what states? [paste URL]” → update location count on the card.
  3. Ask Claude: “Any mention of EEG, MRI, or VNG anywhere on their site? [paste URL]” → update Hypothesis field.
  4. Use Vet this one now → to send to Verify Data, or Save for later to set aside.

Verify Data — Workflow
  1. For each unverified field (shown in red): confirm against the clinic website or Apollo.
  2. When grabbing contact info: paste into Claude formatted as “Last, First | Title | Phone | Email”.
  3. Add contact info for likely decision-makers using the Paste & Parse feature in Edit Account.
  4. Ask Claude: “Check LinkedIn for [First Last] at [Company] and give me only the URL for their profile.”
  5. Once all key fields are confirmed, check Verified on the card.
Four-axis rubric (total 0–11):
Multi-location: 0 = single site · 1 = 2 locations · 2 = 3–4 sites · 3 = 5+ sites or regional brand.
PI attorney: 0 = none · 1 = PI mentioned in passing or intake form only · 2 = PI on services list · 3 = named partners / LOP / lien billing.
VNG sophistication: 0 = none · 1 = balance/fall-prevention program only · 2 = generic vestibular rehab · 3 = specialist credentials / competitor hardware / named program.
Plaintiff-to-patient state: 0 = unknown/no · 1 = partial/gray area · 2 = confirmed yes (state allows PI plaintiff to be treated at the diagnosing clinic).
Tiers: 8–11 = Tier 1 (Hot) · 4–7 = Tier 2 (Warm) · 1–3 = Tier 3 (Nurture) · 0 = Tier 0 (Exclude)

Default pipeline action by tier: Tier 1 → Rep outbound. Tier 2 with contact info → Rep outbound; Tier 2 without → Email nurture. Tier 3 → Newsletter. Tier 0 → Exclude.

Rep Review — Workflow
  1. Confirm the account is worth pursuing based on tier, hypothesis, and contact info.
  2. Check Apollo for People and Contact Info; make edits to the account as needed.
  3. Search Zoho for the company name to verify it’s not already in CRM.
  4. If already in Zoho with useful data, preserve it; if duplicate with no data, delete the Zoho record.
  5. Choose pipeline action: Rep outbound / Email nurture / Newsletter / Exclude.
  6. Check Verified first, then Approved to queue for export.

Recommended path — Zoho Leads: download Leads.csv and import it into Zoho’s Leads module. One row per lead. Accounts missing a verified email or phone will be excluded and flagged in a warning toast.

Alternate path — Accounts + Contacts: import Accounts.csv first, Contacts.csv second. Zoho matches contacts to accounts on the Account Name column.

Note on scores: the PILE Score is exported as an integer (0–11) plus four per-axis columns. Task columns are pre-filled for Zoho activity import.
